License Audit & Management
Night Technologies can obtain specific data on any number of workstations and servers. The workstations and servers are scanned, tracked and totaled. The reports that result give you a clear picture of the amount and type of software installed on your system. This will then make it possible to compare the software with the licenses on hand to see where you are over and/or under. This prepares your company in the case of a software Audit. There are changes in the software licensing laws everyday and Night Technologies can assist you with staying compliant with these laws.Risks

Night Technologies has designed a program to access your current software licensing needs. There are several parts to the Software License Audit program. The first three are linked together and are the core of the on-site work. The inventory includes:
Scan: Scan the Hard drives of all PCs, and summarize the software installedTrack: Tracking your installed software: While scanning individual PCs, we keep track of all of the software installed on each individual PC.Total: Summarize Total installations. After we inventory each PC, we will summarize the reports of all software installed in a summary report.Locate: Once you know which programs are installed on your PCs, it’s time to locate the licenses or other proof of purchase documentation. You may have purchased under a variety of programs including retail, open or select license. Summarize: Once the licenses have been located you can summarize the results and come up with the over/under.Night Technologies has also designed a program to manage your software licenses.
Again there are several parts to a license management program. The Software License Management program is outlined below:
1. Standardize Software – If you find that some of your employees are using out-of-date or various versions of software, now is the time to standardize by upgrading your licenses. Standardizing your software often leads to increased productivity – all employees are using the same version of the software so there are less file transfer issues.
2. Review Procedures – Sometimes each department of your company is buying the same software titles independently, which means you may be missing out on volume discounts for software licensing. By centralizing your software purchasing you can potentially save money, plus your company can
•Exhibit greater compliance with license terms and conditions, since the licenses and agreements are kept in a central location
•Reduce costs by purchasing the correct type of license
•Easily match the software IT budget with actual spending against that budget, which can lead to more efficient resource allocation
3. Retire Obsolete Workstations – Through the software inventory process, you may have discovered workstations that are no longer in use. Now is the time to formally retire such workstations and the accompanying software. Please note that Microsoft software acquired with the purchase of a new machine (OEM software) is not transferable to new or other workstations and must be retired along with the PC.
4. Maintain Inventory – It is important to maintain your software inventory by assigning responsibility for tracking new PC purchases and their accompanying license information and updating the software inventory documentations so they are always up to date.
5. Evaluate Usage – Consider asking your employees, on either a formal or informal basis, what software programs might make their jobs easier and more efficient? In addition, solicit feedback on software in general, and what programs might better their work experience. By doing this you can help your organization determine its software needs, plus you can empower employees and even increase productivity and job satisfaction throughout the company.
6. Establish Policies – If your organization has no written policies or procedures, this is a good time to write them. While the number of policies and procedures your organization needs will vary depending on company size, scope, and culture, at a minimum they should cover the following:
•Software use & copyright policy (we have a sample available)
•Procurement policies and procedures
•Software installation procedures
•Training procedures
•Personal software
•Disposition of software
All of the above should be addressed in your software policies to ensure consistency, to aid in the record keeping process, and to help reduce costs.
